Terms and Conditions 
 

By submitting an application, applicants acknowledge that they have read, understood, and agree to be bound by these Terms and Conditions. These Terms and Conditions constitute a binding legal agreement between the applicant and ADA upon submission of the application. 

  • Applicants must be enrolled in a recognised university course or training programme within Australia that allows for registration as a dental specialist upon completion of study. 
  • The grant must support attendance at a conference, symposium or workshop directly related to the applicant’s area of speciality study, or support research-associated travel that directly contributes to the applicant’s course work or research requirements.
  • Grants are awarded twice yearly. Applications must be for events which occur within the respective application period. 
  • The application periods are: 
  • 1 January to 30 June. Applications must be received by 31 May for payment by 30 June.  
  • 1 July to 31 December. Applications must be received by 15 November for payment by 31 December.
  • A maximum of 18 grants are available per financial year, subject to available funding. Up to 9 grants are available per application period. Grants not awarded within the July to December period will roll over to be available in the January to June application period of the same financial year. 
  • ADA reserves the right to reduce or cancel the grant programme at any time without prior notice, provided that any grants already awarded and paid will not be affected by such cancellation.
  • Judging will occur following application due dates. Judging outcomes will be verified and approved by the ADA’s Dental Education and Training Committee’s Chair or nominated representative in the Chair’s absence.  ADA will use reasonable endeavours to notify applicants of outcomes within 14 days of the judging decision but is not liable for any delays in notification.
  • Eligible expenses for interstate and overseas travel include economy class flights and accommodation costs only.  Registration fees, meals, ground transportation, travel insurance, and other incidental expenses are not covered. Original receipts or proof of purchase for flights and/or accommodation must be provided prior to payment. Evidence of event attendance (such as a certificate of attendance or conference programme showing the applicant’s name) must be provided within 30 days following the event. Failure to provide required documentation may result in the grant being revoked and funds being required to be repaid to ADA.
  • Applicants must be current members of the federal ADA and must have been for at least 1 year immediately prior to applying for a grant. Membership must remain current throughout the application process and until all grant obligations have been fulfilled.
  • Applicants must provide a letter of endorsement completed by their course convenor or programme director. This letter must confirm current enrolment in the specialty training programme and the relevance of the proposed travel to the applicant’s course of study. 
  • Applicants may receive only one grant per calendar year.  Previous grant recipients must wait until the following calendar year before applying for another grant. 
  • Selection will be competitive if applications exceed the number of available (18) grants. Preference may be given to:
  • first-time applicants
  • applicants presenting research who are required to pay their own travel costs. 
  • Decisions of the judging panel are final and binding, and are not subject to appeal or review. 

 

Grant Recipient Obligations 
  

Upon acceptance of a grant, recipients agree to the following obligations and must: 

(a) Use the grant funds solely for the approved purpose as stated in their application; 

(b) Provide all required documentation within the specified timeframes; 

(c) Acknowledge ADA Ltd.'s support in any presentations, publications, or materials resulting from the funded travel; 

(d) Notify ADA Ltd. immediately if they are unable to attend the approved event or if their circumstances change materially, including changes to enrolment status, course details or event details; 

(e) Repay the grant in full if they fail to attend the approved event without reasonable excuse or fail to provide required documentation.

 

Liability and Indemnity 
 
Grant recipients acknowledge and agree that: 

(a) ADA is not responsible for any loss, damage, injury, or expense incurred in connection with the funded travel or event attendance; 

(b) Grant recipients participate in all travel and events at their own risk; 

(c) Grant recipients are responsible for obtaining appropriate travel insurance and must provide proof of such insurance prior to receiving grant funds; 

(d) Grant recipients indemnify and hold harmless ADA, its officers, employees and agents against any and all claims, liabilities, costs, damages, or expenses arising from or in connection with their participation in the funded travel or events, except to the extent caused by ADA’s gross negligence or wilful misconduct. 
  

Privacy 
 
ADA will collect, use, and disclose personal information provided in grant applications in accordance with the Privacy Act 1988 (Cth) and ADA Privacy Policy. By applying, applicants consent to ADA collecting, using, storing, and disclosing their information for grant administration purposes, publicising grant recipients' names and institutions and for ADA’s promotional and marketing purposes.  Applicants acknowledge that they have read ADA’s Privacy Policy available at www.ada.org.au
